Smart Access Management
Headquartered in Vancouver, Canada with services offered to global markets in North America, Europe and Asia-Pacific
Company Overview
Keycafe was created by Clayton Brown and Jason Crabb in 2013 for the purpose of simplifying key handovers in our connected world. The original plan was to leverage key handover for short-term rental hosts, but has become a full-featured smart key management system for businesses of all sizes, from hospitality and property management to fleet operations and facilities access.

Keycafe allows users to manage, share and track physical keys remotely using IoT-enabled key lockers located in convenient public or private locations. Keycafe is built on a cloud-service platform supported by a mobile app that allows users to remotely manage key access. The system has asynchronous functionality to plug into users’ daily workflow, while allowing for real-time access logs, user-level permissions, and multi-location tools.
Keycafe has hundreds of SmartBoxes deployed globally, and users include Airbnb Hosts to enterprise logistics teams. As the smart access ecosystem expands, so does Keycafe’s physical and digital footprint.

Why Keycafe Stands Out
- Blends Physical and Digital Worlds: No need to replace locks—Keycafe works with the keys you already have.
- Built to Scale: Whether you’re managing one property or hundreds, the system adapts to your needs.
- Transparent and Secure: Every key handoff is logged, so you know who accessed what, and when.
- Industry-Agnostic: From hotels to city maintenance teams, Keycafe fits a wide range of real-world use cases.
- Plug-and-Play Simplicity: Easy to deploy with no on-site servers or complicated hardware installs.
What to Consider
Of course, no solution is perfect. Keycafe still involves physical keys, which might not appeal to companies seeking fully virtual access. Its SmartBoxes also require some physical space—something that can be tricky in tight urban areas. And while many units are hosted in friendly local businesses like cafés, access could be limited by third-party availability. Lastly, while the product has strong traction in the short-term rental and fleet sectors, broader awareness is still catching up.
Final Take
Keycafe offers a refreshing middle ground between traditional key systems and futuristic smart locks. It’s simple to use, highly scalable, and surprisingly flexible—making it a great fit for businesses that still rely on physical keys but want to manage them with 21st-century tools. For any team that juggles access across people, properties, and places, Keycafe just might be the smartest key management solution out there.
